Switching from AppFolio

Moving from AppFolio to ScoutzOS is done by exporting reports as CSV files and uploading them. The process takes about 20 minutes.

Step 1: Export your data from AppFolio

You will need to export three reports. Log into AppFolio and go to Reporting > Reports.

Properties:

1. Run the Property Directory report
2. Click Actions at the top of the report
3. Select Export as CSV
4. Save the file

Tenants:

1. Run the Tenant Directory report
2. Under tenant status, select Current (and optionally Notice)
3. Click Actions > Export as CSV
4. Save the file

Leases and rent:

1. Run the Rent Roll report
2. This includes Unit, Tenant, Status, Rent, Deposit, Lease Start, and Lease End
3. Click Actions > Export as CSV
4. Save the file

Step 2: Upload to ScoutzOS

1. During ScoutzOS onboarding, select Upload CSV/Excel
2. Choose Properties as the data type and upload your Property Directory CSV
3. ScoutzOS auto-detects AppFolio column names (PropertyName, UnitName, MonthlyRent, etc.)
4. Review the preview and click Import
5. Repeat for Tenants (Tenant Directory CSV) and Leases (Rent Roll CSV)

Import properties first, then tenants, then leases.

Tips

• If you customized your AppFolio reports with extra columns, ScoutzOS will show them in the column mapping step. Just match any unrecognized columns to the right ScoutzOS fields.
• AppFolio Rent Roll includes most lease data in one export, so you may only need two files (Property Directory + Rent Roll).
• Transaction history can be exported from AppFolio under Accounting reports if you want to import payment records.

After importing

Check your ScoutzOS dashboard to confirm properties and occupancy. Set up Stripe for rent collection under Settings > Payments, then invite tenants to their new portal.
